About the Role:

We currently have an opportunity for an Office Manager based in Austin, TX. In this role, you will support the regulated electric transmission business of LS Power.  This position manages two Austin facilities and manages administrative duties in support of the various departments.  The primary office/control center in southwest Austin is the reporting location for this position.  The secondary office/backup control center is in northwest Austin.  This individual supervises an Administrative Assistant and shares basic responsibilities including answering phones, accepting deliveries, visitor logging, ordering supplies and managing logistics for meetings.   Advanced responsibilities include authoring reports and company newsletters, managing facility maintenance needs and coordinating contractors to perform facility and equipment maintenance work.  This position reports to the VP of Operations and Maintenance. 

Responsibilities

What you will do:

  • Maintain and update files, reports, forms, logs and procedure documents as necessary
  • Receive materials and pre-process invoices and validate purchase order information
  • Assist regulatory department with preparation and submittal of legal filings
  • Administer document management processes utilizing an Electronic Content Management (ECM) software platform
  • Support facility-related procurement, inventory processes and related documentation needs
  • Manage a facility budget for the Austin offices
  • Periodic travel between Austin office locations is required
  • Type and proofread memos, letters, reports, contracts, specifications, procedures and policies
  • Assist in processing employee training, travel arrangements, expense reimbursements, and vacation schedules
  • Assist office staff with time sheets and expense reports and
  • Receive, sort, and distribute incoming and outgoing mail
  • Oversee contracts for office equipment maintenance and supplies and manage office supply inventories
  • Manage business meeting logistics and meal arrangements
  • Arrange conference calls as needed, answer incoming calls and record phone messages
  • Record and publish minutes of meetings as required
  • Maintain a vendor/contractor contact list and coordinate meetings for office personnel as requested
  • Coordinate with vendors and service providers quarterly
  • Maintain contractor lists and manage building access and revocations
  • Provide support to utility operations by coordinating contractor support to facilitate various repairs, inspections and maintenance work
  • Coordinate office events such as holiday parties, team building, volunteer service activities and other departmental engagements

Qualifications

  • Hold a bachelor’s degree in business or related field. However, candidates with an associate’s degree in business and at least seven years of experience managing a similar office environment (such as in utility, technology, or engineering) are also encouraged to apply
  • Bring five to ten years of progressively responsible experience as an office or facility manager
  • Are a licensed notary public or are willing to obtain the license
  • Demonstrate strong proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook). Experience with work management systems (e.g., SAP, Maximo) and document management software is a plus
  • Are self-motivated, disciplined, punctual, flexible and possesses excellent communication, organizational, interpersonal, and technology skills essential for daily responsibilities
  • Have knowledge and understanding of electric utility business principles and operations, which will be beneficial
